Policies

Every event is important and deserves to be planned that way. Our mission is to provide you with exceptional quality, exceptional service and a creative cutting-edge culinary experience to ensure a successful event. We offer 2 distinct services to best fit your needs and budget:

Service and Pick Up.

Please take a moment to review our policies. Our professional staff is available to assist in planning your special event Monday-Friday 9:00am - 4:00pm.

PICK UP:

A PICK UP order can be placed for food and beverage throughout multiple locations on campus. You are responsible for picking up this order and we can provide a cart if necessary to assist you.

TO BEGIN:

--There is no food and beverage minimum for a pick up order.
--Pick up orders can be placed through CaterTrax for the Catering menu Carved & Crafted.
--Pick up orders can be placed via phone through Tim Horton’s and The Pick Up.
--Pick up orders are provided in all disposable packaging.
--For speed of service please order with at least 72 hours notice.
--We can supply a cart for transport if needed (you are required to return it when you are through using it; lost or missing carts will incur a charge)
--Payment or Budget Index is required for all orders.

SERVICE:

TO BEGIN:

--Please ensure your room is confirmed through 25LIVE or by calling the Office of Event Services (716.888.2180)
--Please note we require a $100 minimum in food/beverage for for set up and delivery (if your order is less than $100 in food and beverage we can arrange a pick it up).

--Our staff will set up your catering order. They will return to pick-up any remaining equipment and leftover food in a timely manner. The Catering Manager will discuss with you if and how much service staff is needed to properly execute your event. Staffing fees will be applied based on the length of time and number of service staff that is needed.

--Please place your catering order at least 7 days in advance to ensure food and staff.

--Interdepartmental accounts require a budget index number for all catering orders.

--All events receive linen tablecloths for food tables only.  Additional tablecloths are available for $5 each.
--All food and beverage is served on disposables (china and silverware available upon request- additional charges may apply).  Please note:  we can provide full china serviceware for up to 75 guests.  Beyond this number, rental items may be needed.
-- Our policy is not to provide packaging for perishable leftovers due to Health Department regulations.
-- Alcohol cannot be left unattended in public spaces. It is the client’s responsibility to contact Event Services at (716) 888-2180 to inform them of alcohol service at the event.
-- Client assumes responsibility for all service ware used for the event. Missing china, service platters and display ware will be charged for accordingly.

MENU PLANNING & SPECIAL DIETS

--Please place your orders through CaterTrax and do not hesitate to call for any questions or special needs you may have.
--We are happy to customize a menu for you if you do not see what you are looking for.
--Special diets are accommodated upon request, we kindly request that your needs be submitted as soon as possible.
--Please inform us of any allergens that may be present.

HOURS OF SERVICE

Normal service hours are from 7 a.m. until 7 p.m., Monday through Friday and 9 a.m. to 7 p.m. on Saturday and Sunday while school is in session. Events hosted outside of these timeframes may incur an additional staffing charge.  Please contact our catering office for summer hours, or holiday hours of operation.

GUARANTEES

Please let us know your final number of guests at least 4 business days prior to the event. If the final count is not received, we will consider the number indicated on the original order as the guarantee.

RATES OF SERVICE

--A $50 dollar late fee will be added to orders placed with less than 5 business days’ notice.
--Events that are hosted outside of the Hours of Service may be charged an off hour service fee of $28 per hour for each employee scheduled with a minimum of 4 hours per employee scheduled.
--Chef attended stations (such as carving and pasta) are charged a fee of $28 per hour with a four hour minimum.
--A bartender fee of $28 per hour with a four hour minimum will be charged for each bartender. Service of alcohol requires a bartender.
--Specialty linens, overlays or extra skirting can be requested at an additional charge.

PAYMENT, BILLING AND CANCELLATION PROCEDURES

--Interdepartmental accounts require a budget index number on all catering orders.
--A 50% deposit is required for all non Canisius College functions at the time of booking. The balance is due the day of the event/prior to the event.
--We accept certified/bank checks and credit/debit cards for payment.
--All cancellations must be made at least 4 business days prior to your event date. Cancellation of an event after the deadline will result in a charge of 50% of the estimated total bill.
--Cancellations under 24 hours are responsible for all foods prepared.

TAX EXEMPT

We request tax-exempt forms be emailed or faxed to our office 716.888.2573.

MEETING ROOM AND EQUIPMENT

Please reserve all non-food related equipment by contacting Departments of Events Services at 716.888.2180. This will include room reservation, room configuration, table needs, audio visual and other general information.

SCIENCE HALL CAFE

The Science Hall Cafe is available to open for events during off hours. The cost is $75.00 per hour with a 4 hour minimum. The opening fee will be waived if the revenues taken in exceed $1,200.00. Please call 716.888.2325 for further information.
